22nd ANTRAM Congress

o

Client :ANTRAM - An association for professional Portuguese freight transport companies

Date: 27-28 October 2023
Venue: Alfândega do Porto Congress Centre

Preparation: 6 months

"The transport sector in a world of disruption" was the central theme of the 22nd ANTRAM Congress, the largest meeting dedicated to road freight transport in Portugal. The congress analysed the current context and ANTRAM's future activities.

The event brought together around 500 people at the Alfândega do Porto Congress Centre, including ANTRAM members, exhibitors and the event's organising team.

Event agenda

The aim of the 22nd Congress of ANTRAM, an association with almost 50 years of existence, was to provide two days of discussion between members, with the possibility of sharing their point of view in favour of a better sector. One of the association's main objectives is to engage in dialogue with political authorities in order to find the best solutions to the sector's problems, defending the interests and rights of its members.

Commercial networking

The event was also marked by the strengthening of members' commercial networking through the presence of partners who presented and shared the latest technological innovations from manufacturers of trucks and commercial vehicles, road equipment, fleet management and tracking, parts, engines and tires, distributors of fuels, derivatives and components, insurance and other products and services related to the sector.

Facts

In almost 50 years of existence, ANTRAM had never held a congress organised by a PCO. Until 2023, everything was always organised internally. For the first time, the association felt the need to hand over the organization of the event to an experienced PCO, and Meet Porto was chosen.
In addition to the PCO work, the Meet Porto team also carried out the DMC task, as we were responsible for supporting the management of the accommodation and registrations.
The project was delivered 6 months in advance and one of the main requests made by ANTRAM was to achieve a wow factor at the event that would surprise everyone present. This was achieved with great success, especially with a giant led wall with two trucks at the entrance to the hall and a big focus on lighting in shades of green, ANTRAM's color.
The event was divided into two main parts: the conferences - which only members were able to attend due to the risk of disclosure of confidential and sensitive association data - and the exhibitions, which was the most challenging, mainly due to the logistics of having around 20 large and heavy trucks outside.

Why Porto?

ANTRAM wanted to hold the event in the north of Portugal, since 60% of the participants would be from this region. Given the characteristics and logistics involved in a congress of a road haulage association - particularly trucks - the event couldn't be held just anywhere. Alfândega do Porto Congress Centre immediately appeared to be the obvious solution to accommodate all the needs and specificities of the event, not least because of the versatility of its indoor and outdoor spaces. The dinners on both days of the event and the social program were held in two venues suggested by Meet Porto: Porto Palácio Hotel and Porto Cruise Terminal.

Music and magic

The social program on the second day of the event included a very impressive gala dinner, preceded by a cocktail. The night also featured a magic show and a musical moment starring the well-known Portuguese singer Ana Bacalhau. The music continued afterwards with a DJ, lasting until around 2am.

Networking

Since ANTRAM was presenting financial information at this annual congress, streaming was not an option as it was a private event with confidential information. The event was recorded (for the association's internal use only) and a web app was made available to promote networking, especially with exhibitors. All the audiovisuals for the event were provided by our partner New.
In addition to the PCO work, the Meet Porto team also carried out the DMC task, as we were responsible for supporting the management of the accommodation and registrations.

Weather was the main challenge

The adverse weather conditions that affected Porto on the two days of the event were the main challenge faced by the Meet Porto team, which at the time had to make some adaptations to the program and find alternatives for activities that were planned outside. The quick ability to solve the problems was recognised by the client, who was pleased with the result and the solutions found. In addition to the PCO work, the Meet Porto team also carried out the DMC task, as we were responsible for supporting the management of the accommodation and registrations.

Mission accomplished

The feedback from the client, conveyed by the president of ANTRAM, was very positive. So much so that Meet Porto was immediately hired to organize the association's congresses in 2024 and 2025.
