Meetings don’t have to be boring

In an increasingly demanding world, exceeding expectations when organising events and meetings is no longer just a concern. Is a must! At Meet Porto we love to innovate and bet on new formats that challenge participants. That’s why we’re proud when our clients come back to Porto again and again.

It’s been tried and tested in the meetings we organise at Meet Porto: participants like to be part of the conversations, to interact, to collaborate. The old model of meetings – the typical format in which participants spent hours and hours simply listening, without interacting, is a thing of the past and no longer works. And the truth is that human concentration levels start to drop after 15 or 20 minutes of listening to the same person talking nonstop.

Meeting Formats

Here’s how we do it in Porto and the new formats we offer our clients, so that their guests go from passive spectators to active participants: Dare to Ask, World Cafe, Fishbowl, Hackathon, Gamification, Flipped Learning, Open Space, Notes Day, Pecha Kucha and Huddle, just to name a few examples.

In the Dare to Ask format, participants can ask anything they like about the subject being discussed at the meeting, allowing everyone to get involved right away.

In the World Cafe model, participants are distributed in small groups of up to six people to discuss a series of topics at several different tables, each with its own topic, and where they are encouraged to move around each table and spend their time at the tables they find most interesting.

The Fishbowl model, on the other hand, consists of dividing your team into smaller groups, in circles, and having an open discussion, while the rest of the participants in the meeting sit and listen to what the group is discussing.

The Hackathon format is a meeting model used to solve problems creatively in all areas of a company, promoting work on joint projects.

The Gamification format makes it possible to turn a meeting into a fun moment, as it is an interactive way of bringing people together and creating a kind of friendly competition between participants using the points system.

In Flipped Learning, the order of events is reversed, as participants receive the material and content to be discussed (from videos, to graphs, to KPIs, to reports, among others) before the meeting even takes place. In this way, everyone goes to the meeting better prepared and with more tools for more active participation.

In the Open Space meeting model, it is the participants who share in advance with the organisers the topics they would like to see discussed and what they would like to learn.

In the Notes Day format, participants are divided into small groups and discuss common problems and challenges internally, providing an excellent opportunity for team-building and problem-solving skills training.

Pecha Kucha is a format in which meeting participants are invited to analyse 20 images for 20 seconds each, in a kind of brainstorming session aimed at evaluating the present and preparing for the future.

In the Huddle, entertainment is guaranteed. In fact, the aim of this type of meeting is for participants to communicate and encourage each other by sharing their achievements and successes in a more relaxed atmosphere.

In short: times have changed, people have changed. It’s up to the organisers of meetings and events to adapt to today’s reality and the interaction it naturally requires. The participants will thank you!

At Meet Porto we are fans of these new and innovative meeting formats. How about you?
